A poorly written or absent resignation letter can lead to disputes over the notice period, delays in full and final settlement, issues with the relieving letter and experience certificate, and even legal complications if the separation terms are ambiguous. Whether you are leaving for a better opportunity, relocating, or simply moving on, a professional resignation letter ensures a smooth exit.
Indian companies typically require a written resignation (email or physical letter) to initiate the exit process. Verbal resignations are generally not accepted for official records. The resignation letter triggers several processes: notice period calculation, knowledge transfer planning, full and final settlement preparation, exit interview scheduling, and revocation of system access on the last working day. Getting the format, tone, and content right from the start avoids back-and-forth and demonstrates professionalism — which matters because India's professional circles are remarkably small, and your reputation follows you. Below are five templates covering the most common resignation scenarios, followed by guidance on notice periods and the full and final settlement process.
Template 1: Standard formal resignation letter
Use this template when you are resigning with full notice period compliance. This is the most common and recommended format.

Full and final settlement: what to expect
The full and final settlement (F&F) is the last financial transaction between the employee and employer. Indian law does not prescribe a specific timeline for F&F processing, but best practice is within 30-45 days of the last working day. The F&F statement typically includes the following components:
- •Salary for days worked: Pro-rated salary for the last month (if the last working day is mid-month).
- •Leave encashment: Payment for unused earned leave / privilege leave. Company policy determines whether casual leave and sick leave are encashable. Leave encashment is taxable, though an exemption under Section 10(10AA) applies (up to ₹25,00,000 for non-government employees, as per the 2023 budget amendment).
- •Gratuity: Payable if you have completed 5 years of continuous service (or 4 years and 240 days in certain interpretations). The formula is: (Last drawn basic salary + DA) x 15/26 x number of completed years of service. The maximum tax-exempt gratuity for non-government employees is ₹20,00,000. - •Notice period recovery: If you did not serve the full notice period and did not buy it out, the employer will deduct the shortfall amount from your F&F. This is typically calculated on basic salary or gross salary — check your employment contract for the specific formula.
- •Pending reimbursements: Any approved but unpaid reimbursements (travel, medical, etc.).
- •Bonus/incentive: Pro-rated bonus or incentive payment, if applicable per company policy. Some companies pay bonuses only to employees on rolls on the payout date — check your policy.
- •Deductions: Recovery of any advances, loans, or company property not returned. Notice period shortfall. Income tax on the F&F components.
Tips for a smooth resignation process
Tip 1: Inform your manager before HR. In Indian corporate culture, learning about a team member's resignation through HR rather than directly is considered disrespectful. Have a face-to-face or video conversation with your manager before sending the formal resignation email. Tip 2: Keep it brief and professional. A resignation letter is not the place to air grievances, criticise management, or explain in detail why you are leaving. Save that for the exit interview (if you choose to share). The letter should be factual: you are resigning, here is your last day, you will ensure a smooth transition. Tip 3: Get written acknowledgment. After submitting your resignation, ensure you receive written acknowledgment (email reply) from your manager or HR confirming receipt and your last working day. This protects you in case of disputes later.
Tip 4: Prepare a handover document. Before your last day, create a comprehensive handover document covering: ongoing projects and their status, key contacts (clients, vendors, stakeholders), recurring tasks and their schedules, login credentials and access information (for shared accounts), and location of important files and documentation. This demonstrates professionalism and ensures you leave on good terms. Tip 5: Negotiate the relieving letter timeline. In India, the relieving letter is critical — many companies will not onboard you without it. Negotiate with HR to receive the relieving letter on your last working day itself, rather than waiting for F&F processing. Most companies agree to this if asked. Tip 6: Understand your PF transfer. When you resign, your Provident Fund does not automatically transfer. You need to initiate a PF transfer to your new employer's PF account through the EPFO unified portal (using Form 13) or withdraw it (using Form 19, but this is taxable if you have less than 5 years of continuous PF service). Starting the PF transfer early avoids delays.
